APPOINTMENT PROTOCOL
When Client Agrees To Appt.
Step 1: Mark the lead with a tag: “Appointment Set”
Step 2: Send the Preset Text Labeled:
#5 Appointment Confirmation
Step 3: Create a calendar event on your GOOGLE CALENDAR. Block off the full hour until your schedule starts filling up and then move to 30 minute slots.
Step 4: Invite the client to the appointment by adding them as a guest via email. Be careful not to offer a Google Meet link unless you’d like to video chat with the client.
Step 5: Schedule 1-2 appointment reminders for the client.
Morning Appointment Reminders
Preset: Appointment Reminder #1: Drs Appointment
“Hey #first_name. #my_first_name again. As you can see from the screen shot, I've almost completed an email for you with information. However, I forgot to ask when we spoke earlier, do you have any doctors that you'd like to make sure you keep in network? I'm looking forward to sharing more with you at ___.”
Appointment Reminder: Morning
Good morning, #first_name! Hope you are having a great start to your day. I am mapping out my day and just wanted to send a quick reminder for our call at __. Looking forward to chatting with you!”
30 Minute Appointment Reminders
Preset: Appointment Reminder #2
“Hi #first_name. Busy day for me. Hope yours is going well. I’m in a meeting at the moment but I should be done right at ___ for our appointment. I’ll text beforehand if I’m behind. Talk to you soon!”
Preset Appointment Reminder #3:
“Hey #first_name! Hope you’re having a good day so far. I’ll be giving you a ring here at ___ to review health plans. Looking forward to chatting again”
Calling For the Appt.
DO NOT BE LATE. You need to have your email template prepared and be ready to screenshare. Schedule your appointments for an hour minimum to start, and if you fill up, begin moving to the 30 minute marks.
IF THEY ANSWER: If they answer and you all schedule a follow up call “Hey #firstname! ________ again. Just wanted to send a quick reference point for our call ___ (__/__) @ ___! As I said before, please text or call me with any questions in the meantime and I'm looking forward to chatting with you again! Here's my contact if you'd like to have it saved.

IF THEY DON’T ANSWER ON THE FIRST RING: DOUBLE DIAL! Call the lead twice in a row for your appointment. On the second call LEAVE A VOICEMAIL.
After two back to back dials and a voicemail with no answer / reply, SEND A MISSED APPOINTMENT TEXT: “Hey #first_name I just tried reaching out for our ___ call and got your voicemail. I'm sure you're a busy person and just got away from your phone so no worries. I still have 30 minutes blocked off for our appt. I will try back in about 10 minutes unless you'd like to reschedule for later today.” PRESET: Missed Appointment
Call again in 5-10 minutes. No voicemail is necessary this time.
STILL NO ANSWER: Make sure to send your client 1-2 more text messages that day. Assign ghosted/missed appointment drips, or plan to manually follow up. The client should receive an additional 5 messages total within the following 48 hours after missing the appointment.
STILL NO REPLY: Pick 2 days a week to bulk your pipeline. Here are some bulk messages you can target to your pipeline (interested / quoted / missed appointments, etc.)
BULK EXAMPLES:
— Hi #first_name!! It's #my_first_name, healthcare consultant. We looked at health plans for you, but I understand you may have gotten busy since we last talked. Should we set aside a time tomorrow to review instead or am I best to go ahead and close out your file? I don't want to bother you moving forward. Let me know what I can do to help assist you. Reply "covered" if you're all set.
— Hey #first_name! It’s #my_full_name, I’m getting ready to close out files for the week. Are you still looking for health coverage options? Please let me know, I don’t want to interrupt your day but some plans can take time to enroll. Should I send some quotes to help you get started? Reply 'close' to close your file.
— Hey #first_name, do me a favor and let me know if you're no longer needing help. I don't want to waste either of our time by continuing to reach out if you got things squared away. If you are still needing coverage we can schedule a time to touch base and look into some options that meet your specific needs. Thanks! -#my_full_name

USE SPECIFIED BULKS FOR THE DAY OF THE WEEK/TIME OF THE MONTH/TIME OF YEAR. YOU CAN TARGET SPECIFIC BULKS DURING OPEN ENROLLMENT V. OUTSIDE OF OPEN ENROLLMENT. YOU CAN USE THE END OF THE MONTH TO CREATE URGENCY. YOU CAN USE END OF THE WEEK CLOSING FILES. THESE BULKS ARE GENERAL BUT YOU MY WANT TO CONSIDER ALSO USING BULKS THAT ARE SPECIFIED/TAILORED TO THE CURRENT SITUATION.
